Verdict at a glance

Recommended for

Small firms (Grow aimed at 3+ staff) that under-capture billable time and run Microsoft-centric, forms-heavy practices.

Bottom line

If your firm under-captures time and lives in Outlook/Word, Smokeball is worth a demo; put the end date and the 30-days-before date on the calendar the day you sign, and plan your own data export before the term ends.

Practice management for small firms with AutoTime, deep Microsoft 365 integration, and practice-area document automation. Pricing is quote-only. No mid-term termination without cause; miss the 30-day non-renewal window and you renew for 12 months at standard (undiscounted) rates.

Not for

Firms that need month-to-month terms or a published price, Mac-first or browser-only offices wanting the full desktop feature set, or anyone who might need to exit mid-term.

Pricing from

Quote-only (smokeball.com/pricing, 2026-10-15)

Pros

  • Four plans (Bill, Boost, Grow, Prosper+) with onboarding and phone support on each, per Smokeball
  • AutoTime automatic activity capture (Prosper+ or Grow add-on)
  • Practice-area templates, calculators, and advanced document automation on Grow+
  • Deep Microsoft 365 Outlook/Word integration

Cons

  • No published prices
  • No mid-term termination without cause (terms)
  • Miss ≥30-day non-renewal notice and auto-renew 12 months at standard undiscounted pricing
  • Smokeball will not hand over your data; you must export within 30 days after term end

Quick answer

Bottom line: Strong small-firm practice management if you under-bill time and live in Word and Outlook. The price is a quote and the contract is strict: calendar the 30-day non-renewal deadline the day you sign, and plan to export your own data.

Smokeball is practice management for small firms: matters, billing, trust accounting, document automation, and optional AutoTime that captures activity so billable hours stop leaking. Four plans—Bill, Boost, Grow, Prosper+—all quote-only. Onboarding is included; migration is scoped in the quote. The hard part is the contract: no termination without cause mid-term, non-renewal notice at least 30 days before the end date, and a silent renewal that locks 12 more months at standard (not discounted) pricing. After an auto-renewal you get a 30-day exit. Export your own data within 30 days after the term ends—Smokeball will not hand you a copy.

What is Smokeball?#

A practice management platform with a native desktop app (Grow and above) plus web access. It is known for automatic time capture and large practice-area template libraries. Archie is Smokeball's matter-based AI assistant for drafting, review, and document search; treat Archie pricing and add-ons as quote items.

Plan sketch (features per Smokeball's pricing page):

  • Bill — invoicing, time and expense, online payments, trust accounting and reporting, accounting integrations
  • Boost — adds browser matter management, tasks/calendar, Microsoft 365 Outlook/Word, client portal, letterhead, e-signature, e-filing, Communicate (Smokeball AI). Add-ons: Intake, Archie
  • Grow ("Best value") — adds native desktop app, practice-area templates and calculators, advanced document automation, automated forms, email management. Aimed at firms with 3+ staff. Add-ons include AutoTime, FamilyPro, Intake, Workflows, Archie
  • Prosper+ — adds firm insights, lead management, advanced intake, custom workflows, staff activity and profitability reporting; AutoTime, Intake, and Workflows included

Several items note "fees apply" (email marketing, some e-signature paths, online payments). E-signature unlimited "with InfoTrack" on described tiers.

Smokeball contract facts that are published

Pricing#

Not published. Price depends on users, plan, contract term, and optional products. Personalized quote. Migration services and costs are confirmed in the quote. No published user cap.

Optional third-party financing of the subscription appears in the terms. Financing installments are partial payments of the full-term fee—they do not create a monthly cancel right.

Ask the vendor for current per-user numbers; we do not invent them.

Contract traps (read these)#

Paraphrased from Smokeball's terms:

  1. No walking away mid-term without cause. Only uncured material breach (30 days to cure) ends it early.
  2. Silent renewal. Give non-renewal notice at least 30 days before the End Date. Miss it and the term auto-renews for 12 months, invoiced monthly, at standard (not your discounted) pricing. Price-increase notice must come at least 60 days before the new term.
  3. 30-day escape after auto-renewal. Either party may terminate in the first 30 days of an auto-renewed term (no refund for that period). If you miss the notice window, act inside those 30 days.
  4. Seat changes can re-price. Per-user fees are fixed only during the term; adding or removing users can trigger re-pricing. Lock seat count and price in writing.
  5. Data exit. Smokeball will not provide an electronic or hard copy of your data. You must retrieve it within 30 days after the term ends. Start before the End Date.

Setup#

Moderate. Onboarding included on every plan; live training and Smokeball Academy. Migration is scoped and priced in the quote. The firm must provide exports, review migrated data, and attend check-ins; Smokeball does not guarantee timelines when delays are on the customer. Assign one owner (usually the office manager). Desktop app on Grow+ fits Windows / Outlook / Word offices.

What users say#

Likes: Automatic time capture; templates; Word/Outlook integration; Archie for PDF extraction and drafting.

Frustrations: Hard to leave multi-year deals; renewal pricing complaints; desktop-centric workflow.

Pros and cons#

Pros

  • AutoTime and forms-heavy automation
  • Microsoft-centric depth
  • Onboarding on every plan

Cons

  • Quote-only pricing
  • No mid-term exit without cause
  • Undiscounted 12-month silent renewal risk
  • Self-serve data export only, on a deadline

Compare with Clio, MyCase, PracticePanther#

All four are small-firm practice management. Smokeball's differentiator is AutoTime plus desktop document automation. Clio and MyCase publish more plan detail (still shop carefully). PracticePanther is another quote-heavy PM without native AI on its core plans.

Who should use Smokeball?#
