We built this review from SmartAdvocate's own website and subscription terms of service, plus our overall reading of public user feedback. Everything was checked October 15, 2026. Terms and features are vendor claims and change, so confirm with SmartAdvocate.

What does SmartAdvocate actually do?#
SmartAdvocate manages cases from intake to resolution for plaintiff, litigation, in-house and corporate legal teams. Per SmartAdvocate's site:
- Two deployment options. Server-based, where the software and data sit on a server you control, wherever you want it; or cloud-based, hosted by SmartAdvocate. Most of the market went cloud-only years ago, so this is a real differentiator for firms with strict data-location preferences.
- SmartIntelligence, AI built into the platform. SmartAdvocate says it helps with intake, automates demand letters and medical chronologies, and surfaces insight from case data.
- Integrations: SmartAdvocate claims more than 175 integration partners.
- In-house service: implementation, data migration, training and support are handled by SmartAdvocate's own staff rather than outsourced, per the company, with training classes from entry level to advanced.
What this means for you: With SmartAdvocate, the company that sells you the software also does the setup. That's one contract and one party to hold accountable, which isn't true of every competitor.
How much does SmartAdvocate cost?#
SmartAdvocate doesn't publish prices. Its FAQ says pricing is based on your firm's needs and directs you to a business development specialist or a demo (vendor claim, checked October 15, 2026). Get a written quote from SmartAdvocate.
What the terms do tell you about paying:
- Subscriptions are paid in advance, and you need a valid credit card on file with a standing authorization to charge it.
- Promotional pricing must be paid annually.
- Seat reductions take effect no earlier than the next billing cycle, with written notice.
When you get the quote, ask for the monthly price, the annual prepay price, and what the difference would cost you if you left at month six. The next section explains why.
What are SmartAdvocate's contract terms?#
From SmartAdvocate's subscription terms of service, paraphrased:
- Either side can terminate on at least 30 days' notice. That's more flexible than the year-long lock-ins common in this category.
- Leaving an annual prepay early has a cost. You get back the full months remaining after termination, less the prepayment discount. On top of that, the months you already used are charged at the full, undiscounted rate, and anything you owe is deducted. No refunds for partial months.
- Moving from cloud to server: if you end the cloud subscription to buy a server license, you get a credit of 50% of the subscription fees you paid over the prior 12 months.
- Getting your data: on request, SmartAdvocate provides a backup copy, and you supply the hard drive or other media to hold it.
- Who can give instructions: the firm designates authorized individuals. If those people disagree, SmartAdvocate doesn't have to act on a request unless all equity partners agree unanimously, or a court orders it. Relevant if a partnership ever splits.
- Integrations with third-party services can be withdrawn, with best-efforts advance notice.
- Mutual non-disparagement (section 28). Both sides agree not to make statements that criticize or harm the other's reputation, true or not, in essentially any setting, including online, to clients and to the press. Exceptions include statements required by law, enforcing the agreement and getting confidential legal or financial advice. The obligation survives for three years after the agreement ends.
How hard is SmartAdvocate to set up?#
Moderate to high. SmartAdvocate is feature-dense, and its own implementation team runs migration and training. Expect a real learning curve for non-technical staff, and budget time for workflow and template setup. If you go server-based, add the IT side too: hardware, backups, remote access and updates are now partly your job.
Before signing, get in writing:
- the data migration scope (open and closed cases, documents, notes, financials),
- the training plan and go-live date,
- the export format and turnaround for a data backup if you ever leave.
What do users say about SmartAdvocate?#
We read public user feedback and looked for patterns.
What users like. Workflows, task tracking and reporting get consistent praise, along with centralized client communication such as texting and e-signature. Long-time users describe it as reliable and feature-rich, and some appreciate that the vendor doesn't charge for every small extra.
What frustrates them. The interface can feel cluttered, there's a learning curve for non-technical staff, and some report template formatting glitches after updates. Firms that bill hourly describe time entry and document retrieval as click-heavy. One more thing to weigh: with a non-disparagement clause in the customer contract, public feedback may skew positive.
Buyer tips before you sign#
- Price monthly versus annual, and the cost of exiting at month six. The clawback makes annual prepay a bet on staying.
- Ask to strike the section 28 non-disparagement clause, or at least narrow it, before you sign, not after.
- Get the data export format and turnaround in writing, and keep your own periodic backups.
- If on-premises is a possibility, get the 50% cloud-to-server credit confirmed in your order.
- Hourly billers: test time entry hands-on during the demo with your own workflow.
Pros and cons#
Pros
- Cloud or server deployment.
- Built-in AI for intake, demand letters and medical chronologies.
- In-house implementation and support.
- 30-day termination right for either side.
Cons
- Quote-only pricing.
- Early-exit clawback on annual prepay.
- Data backups on media you supply.
- Three-year non-disparagement clause.
How does SmartAdvocate compare?#
Filevine is another configurable litigation and PI platform, cloud-only, with implementation handled by outside partners. CasePeer is PI-specific with published per-user prices. Clio suits firms that want a general platform with public pricing and a huge integration ecosystem.
