NetDocuments Review (2026): Cloud DMS With AI Built In

NetDocuments is where many mid-size and large firms keep their documents and filed email. Its ndMAX AI works on that content in place, which is the main reason to look at it now.

Verdict at a glance

Recommended for

Firms of roughly 10+ lawyers and legal departments that need governed document and email management in a Microsoft 365 environment.

Bottom line

A strong choice for firms that need a real DMS and want AI that runs inside it. Get every module itemized, ask how ndMAX is licensed across users, and put the no-training commitment and exit terms in the contract.

A mature cloud document and email management system for legal teams, with workspaces, permissions, email filing, security and data governance tools. The ndMAX Legal AI Assistant adds Q&A across one or hundreds of files, chronologies, tabular review and agentic tracked edits in Word. Pricing isn't published, and AI licensing terms are the main thing to pin down.

Not for

Solos and small firms whose practice management system's document storage is enough, and buyers who want published prices.

Quick answer

Bottom line: NetDocuments is for firms of roughly 10 or more lawyers, and legal departments, that need a governed document and email system in Microsoft 365 and want AI that works on those files in place. Pricing isn't published, so it's quote only (checked October 15, 2026), and we found no published free trial. The trap: third-party reports, which we couldn't confirm, say the ndMAX AI add-on must be licensed for every DMS user, which can sharply raise the total. Ask NetDocuments whether a subset of users can be licensed, and get modules itemized and a renewal cap in writing.

NetDocuments is a cloud document and email management system (DMS) for law firms and legal departments: workspaces, folders, permissions, search, email filing and data governance. It also supports eDOCS, its other DMS line. NetDocuments says its ndMAX Legal AI Assistant answers questions across one or hundreds of files, builds chronologies, summarizes and translates, runs tabular review across document sets, and makes tracked edits in Microsoft Word. NetDocuments says your repository content is never used to train public models and that prompt processing is transient.

We built this review from NetDocuments' own website and its Legal AI Assistant page, plus a summary of the public user feedback we found. Everything was checked October 15, 2026. Features are vendor claims and change, so confirm with NetDocuments.

What does NetDocuments actually do?#

At its core, NetDocuments stores and governs a firm's documents and email by client and matter:

  • Workspaces and folders with permissions at the workspace, folder and document level.
  • Email filing from Outlook, plus Teams and Microsoft 365 integrations.
  • Search across the repository.
  • Security and data governance, including data loss prevention and ethical walls.

The ndMAX Legal AI Assistant, per NetDocuments, adds:

  • Q&A across selected documents, with citations back to the source.
  • Summaries, chronologies and translations, including deposition and witness summaries for litigation teams.
  • Tabular review: describe what to extract and get a cited table across thousands of documents, such as lease terms or contract obligations.
  • Agentic editing in Microsoft Word, shown as tracked changes, with full version history.
  • AI App Builder and ready-made legal AI apps, plus MCP integrations with other AI tools.

What this means for you: the AI works on documents already in your DMS, under the permissions you already have, instead of sending files to a separate tool.

How much does NetDocuments cost?#

NetDocuments doesn't publish prices; it's quote only. Questions to get answered in writing:

  • Which modules are priced separately, such as document management, email filing, OCR and external sharing.
  • How ndMAX is licensed. Ask whether it can go to a subset of users or must cover every DMS user, since that changes the total a lot.
  • Implementation and migration costs, and whether a partner does the work.
  • Renewal increases, with a cap in the order form.

Is NetDocuments secure enough for client files?#

NetDocuments says the AI Assistant keeps content inside your NetDocuments tenant, encrypted in transit and at rest, under your existing permissions. It says repository content is never used to train public models, prompt and response processing is transient, retention follows your firm's governance settings, and admins can apply AI-specific data loss prevention controls.

We didn't find a public customer subscription agreement, only website terms of use. Ask for the full agreement, including the export format and how long you have to retrieve data after termination.

How hard is NetDocuments to set up?#

Moderate to high for a new DMS. Expect work on workspace design, document and email migration, and training on filing habits. NetDocuments says turning on the AI Assistant is quick for existing customers because it runs on the content and security model already in place.

What do users say about NetDocuments?#

The feedback we could find is thin and only partly verified, so treat this as a pattern to test rather than a finding. The recurring complaint appears to be search: some users report slow or incomplete results, which they tie to indexing delays, and email-filing suggestions that miss when indexing lags. Run searches on your own document volume during evaluation.

Buyer tips before you sign#

  1. Itemize every module and get the per-user price for each.
  2. Ask whether ndMAX can be licensed to only some users or must cover every DMS user (confirm with NetDocuments).
  3. Get the no-training commitment in the contract, covering all models.
  4. Negotiate a renewal cap.
  5. Agree the exit terms up front: export format and how long you have to retrieve data.
  6. On Worldox? NetDocuments now owns Worldox and says on-premises customers can keep using it. Before renewing hardware or maintenance, ask in writing how long on-premises support is committed.

Pros and cons#

Pros

  • Mature cloud DMS with strong permissions.
  • AI inside the DMS, under existing access controls.
  • Tracked-change editing in Word.
  • No-public-model-training statement and AI DLP controls.

Cons

  • Quote-only pricing.
  • AI licensing needs confirming.
  • No public subscription agreement.
  • Real migration effort.

How does NetDocuments compare?#

Clio includes document storage inside practice management, which is enough for many small firms. Harvey is a standalone legal AI platform that can work with a firm's documents but isn't a DMS. NetDocuments fits firms that want the DMS and the AI in one governed place.
