We built this review from Filevine's own website, pricing page and published subscription agreements, one public government sales order, and our overall reading of public user feedback. Everything was checked October 15, 2026. Prices and terms are vendor claims and change, so confirm with Filevine.

What does Filevine actually do?#
At its core, Filevine is a case management system: the place where every matter's tasks, deadlines, contacts, documents and billing live. Filevine's pricing page groups the platform into a few families:
- Matters: task tracking, contacts, deadlines and calendars, document management, document assembly (turning matter data into finished documents), and time tracking, invoicing and online payments.
- LOIS (Filevine's "Legal Operating Intelligence System"): Ask LOIS for plain-English questions about your matters, with answers traced back to source; AI Drafting that writes from the matter's own facts; LOIS for Word, which brings drafting and standards-based redlining into Microsoft Word; and MedChron, which turns medical records into timelines.
- Depositions: scheduling and hosting, Depo Copilot (live transcription and suggested follow-up questions during the deposition), AI summaries with page and line references, and a searchable library of past testimony.
- Intake: Lead Docket, Filevine's lead-management product, plus automation and an AI add-on that summarizes leads.
- Vinesign for e-signatures.
Extensions sold on top of the matters package include Periscope (business analytics), Timely (court deadline calculation for any U.S. jurisdiction, per Filevine), a client portal, DataBridge (direct access to your Filevine data) and integrations.
What this means for you: "Filevine" on a quote can mean almost anything from core case management to a dozen modules. Ask for the quote line by line so you know which features you're actually buying.
How much does Filevine cost?#
Filevine doesn't publish prices. Its pricing page says all packages are custom-built and that its team will tailor a plan to your organization (vendor claim, checked October 15, 2026). The one thing that's free is LOIS Explore, a no-credit-card tier for uploading documents, asking questions, drafting with cited results and legal research. It doesn't include Filevine's case management, so it tells you about the AI and not much about the platform you'd be living in.
One public example contract#
Government purchases often become public records, and one county legal office's Filevine sales order appeared on its board agenda. It is one negotiated public-sector deal for a three-year commitment, not what Filevine costs you.
One public example: a county legal office's 3-year Filevine order (2026–2029)
$119.40
Per user per month, core Filevine, 30 users

$21 / $15

$12,000
Per year, Periscope analytics package

$67,944
Annual recurring total

The useful lesson is the ratio, not the number. In that order, three add-ons came to $24,960 a year on top of $42,984 for core seats, roughly 58% more. Budget for the modules you'll actually want, not the headline seat price.
The same order shows what a negotiated contract can look like: no automatic renewal, renewal increases capped at 5% a year, 90 days of data retention after termination, and no reducing license counts during the term. Those are that buyer's terms. Yours are whatever you get written into your own sales order.
What's in Filevine's subscription agreement?#
Filevine posts its standard subscription agreement (last updated August 12, 2026). The sales order controls where it conflicts, so treat this as the default you negotiate from. Paraphrased:
- Implementation is not Filevine's job unless your sales order says otherwise. Setup, configuration and data migration are done by a certified "Implementation Provider" under a separate contract you sign and pay for. Problems with implementation quality or length don't suspend or cancel your Filevine fees.
- Fees are non-refundable. If the agreement ends, the fees for the rest of the term become due right away. The main exception is if you terminate because Filevine failed to cure a material breach, in which case prepaid unused fees come back.
- Usage is monitored. Filevine can check usage through telemetry and, after notice, bill overage back to the date it started at then-current list rates.
- Invoice disputes have a 10-day window from the invoice date (confirm with Filevine). Miss it and you've waived the dispute. Payments more than 10 days late can lead to suspension and acceleration of what you owe.
- Uptime commitment is 99.0% a month, with credits of 10%, 25% or 50% of that month's fees as uptime drops. You must request the credit within 10 days of month-end, and credits are the only remedy for downtime.
- Changes to the agreement take effect on posting, with at least 30 days' notice for material ones. If a change materially hurts you and can't be resolved, you can terminate the affected sales order.
- AI output is yours to check. The agreement says output can be wrong and puts verification on you. It also says Filevine's third-party AI providers are contractually barred from training on your data.
- Disputes go through negotiation, mediation and then arbitration in Utah, with carve-outs for government subscribers.
Filevine's previous (legacy) agreement said that if the sales order is silent, subscriptions auto-renew for one-year periods unless you give 30 days' written notice. If you're renewing an older contract, check which version you signed.
How hard is Filevine to set up?#
Hard, and Filevine's own paperwork says so. Its pricing page sends onboarding to its network of Certified Implementation Partners, and the agreement makes that a separate engagement. Filevine's strength is configuration: custom fields, workflows, task chains and dashboards built to how your firm actually runs cases. That same flexibility is why rollouts take months, not days.
Plan for:
- An internal owner. A paralegal manager or operations lead who knows your case stages and will sit in weekly build meetings.
- A partner quote covering migration from your current system, workflow build and training, with milestones.
- Staff time. Firms commonly report that their own people end up doing a lot of the homework.
What do users say about Filevine?#
We read public user feedback and looked for patterns.
What users like. Once it's live, firms describe solid case and document management, plenty of customization, and responsive support during business hours.
What frustrates them. Implementation is the dominant complaint: long go-lives, heavy staff time, and partner and migration fees due before anyone logs in. A close second is the add-on model, with users surprised that features like AI fields, some integrations and e-signature cost extra, and that adding non-attorney users is billable. Others mention clunky search, occasional downtime and glitches in document generation. Some users also report sizable renewal increases, which is why the cap matters.
Whichever system you choose, a lawyer is responsible for AI output. ABA Formal Opinion 512 covers verifying AI work and protecting client confidences; read it before rollout.
Buyer tips before you sign#
- Ask for a renewal cap and a notice period for price increases. The standard agreement is silent on both. The public example above got a 5% annual cap. A written notice period gives you time to push back or leave before a higher price kicks in.
- Ask for no auto-renewal, or at least a clear non-renewal window. Calendar it either way.
- Treat seat count as a one-way ratchet. You may not be able to reduce licenses mid-term, and overage is billed retroactively at list. Start lean and add seats.
- Price the add-ons up front. Vinesign, Timely, Periscope, client portal and AI features can add a large share on top of core seats.
- Get data retention and export terms in writing. Know how long you have after termination to get your data out.
- Calendar two 10-day windows: invoice disputes and SLA credit requests.
Pros and cons#
Pros
- One platform for matters, documents, billing, intake and depositions.
- LOIS AI works in context, drafting and answering from your own matter data, with sources.
- Deposition tools that most case management systems don't have.
- Deep configuration for firms with defined workflows.
Cons
- No public pricing, and a modular quote that's easy to underestimate.
- Implementation is a separate contract, and fees run regardless.
- Non-refundable fees, with the balance due if you leave early.
- Months-long setup for most firms.
How does Filevine compare?#
SmartAdvocate and CasePeer are also built for PI and litigation case management, and are worth pricing side by side. Clio is the safer pick if you want published prices, a faster start and a huge app marketplace, though you'll give up some of Filevine's depth on litigation workflows and depositions.
Who should use Filevine?#
FAQ#
How much does Filevine cost?#
Filevine doesn't publish prices; every package is custom (vendor claim, filevine.com/pricing, checked October 15, 2026). The public county sales order described above shows how one contract was structured, not what you'll pay. Budget separately for the implementation partner, since Filevine fees start on day one regardless of go-live.
Does Filevine have a free trial?#
Filevine offers LOIS Explore, a free tier of its AI for document Q&A, drafting and research, with no credit card. It doesn't include case management. For the full platform, Filevine asks you to book a demo.
Does Filevine do implementation itself?#
Not by default. Under its standard subscription agreement, implementation, configuration and data migration are done by a certified third-party provider under a separate contract, unless your sales order says otherwise.
Can I cancel Filevine early?#
Under the standard agreement, fees are non-refundable and the remainder of the term becomes due on termination, except in limited cases such as Filevine's uncured material breach. Check your sales order, which controls.
Does Filevine train AI on my data?#
Filevine's agreement says its third-party AI providers are contractually barred from using your data to train their models and don't retain it beyond the request, apart from limited abuse-monitoring retention (vendor claim, checked October 15, 2026).
Is any of this sponsored?#
No. If that changes, the listing will be labeled "Sponsored," and payment won't change the verdict.
